Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • The submission has not been previously published, nor is it before another journal for consideration (or an explanation has been provided in Comments to the Editor).
  • The submission file is in OpenOffice, Microsoft Word, or RTF document file format.
  • The text double-spaced; uses a 12-point font; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, and tables are placed within the text at the appropriate points, rather than at the end.
  • Sanitized the document.
  • Where available, URLs for the references have been provided.
  • The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines.

Author Guidelines

Advances in Social Work is a refereed journal published by Indiana University School of Social Work. The journal seeks to publish empirical, conceptual, and theoretical articles in all areas of social work research, education, and practice. Interdisciplinary contributions are encouraged. Authors are provided timely and constructive reviews of their manuscripts. Advances in Social Work is a completely online journal including article submission, review, and publication. As an author submitting your manuscript to Advances in Social Work, we would ask that you do the following:

  1. PREPARING YOUR MANUSCRIPT. 
    1. Deidentifying Your Manuscript.   If you cite any of your own previous published work, please replace all authors’ names to “X” for references. For example, if your manuscript says “this study is based on a larger study by the authors (Daley, 1999)” you would change it to “this study is based on a larger study by the authors (X)”. Once the manuscript has been reviewed and if the decision has been made to accept it, the final version of the manuscript will  use the actual names in the references and citations. 
    2. Sanitizing Your Manuscript.  Remove the identifying information in the file properties.  All Microsoft documents automatically include identifying information about registered users. This information needs to be cleared from your manuscript as follows: click on File on the main menu of the Microsoft application: File > Check for Issues > Inspect Document > (make sure the box for Document Properties and Personal Information is checked)> Inspect > Remove All > Close > Save. [specific steps may vary depending upon which version of Word you are using].

      A complete submission includes:

      • Separate title page
      • Manuscript
        • Title
        • Abstract
        • Keywords
        • Body of manuscript
        • Embedded tables and figures
        • References
    1. Title Page. Prepare a separate title page with title, authors (including full contact information), and acknowledgements (i.e., “this study was funded by the Lilly Foundation”). During the submission process the submitters will first upload the primary file and then be given the option to upload supplementary files. Upload the title page as a supplementary file.
    2. Formatting the Manuscript. The manuscript should be in Word for Windows format with 12-point font, double-spaced. Most manuscripts should be no more than 25-30 double-spaced pages long (including references, tables, and figures), although longer manuscripts may be considered.
    3. Title, Abstract, and Keywords. Include your title on the first page. An abstract of 200 words or less is included at the beginning of the manuscript.  The abstract should include the purpose of the manuscript, a brief description of the sample and methods if appropriate, key findings, and a recommendation.  It is not sufficient to state "implications will be discussed." A list of three to five key words that reflect the content of the manuscript should be provided directly below the abstract.
    4. Tables and Figures. Tables and figures should be embedded in the manuscript, NOT placed at the end. For tables, please use Word's table tools -- do not just use regular tabs. Acknowledgments should appear on the last page. 
    5. References. Citations, references, and the overall format of the manuscript should follow the Publication Manual of the American Psychological Association (6th edition) style guidelines. Double check your APA format and make there is a one-to-one correspondence between citations in the narrative and the reference page. 

  1. SUBMITTING YOUR MANUSCRIPT.  Once the manuscript is ready to submit, you can register and/or log in at http://journals.iupui.edu/index.php/advancesinsocialwork (PLEASE NOTE THAT YOU MAY GET A WARNING NOTICE THAT THE WEBSITE IS NOT SECURE YET, SELECT THE CHOICE THAT SAYS CONTINUE ON)
    1. Select the “register” choice at the top of the webpage
    2. Complete the information in the profile form
    3. Select under “register as” the choice of “author”. NOTE: If you are interested in being a reviewer, you should check the “reviewer” choice too.
    4. Once you have registered, you will see a new screen. On that screen will be "Advances in Social Work” and “author”. Click on the “author” choice. You will be taken to a new screen with “click here to start the submission process”. Click on that choice.
    5. A new screen will pop up with information and a submission checklist. You must check each of the items on the checklist. There is information that you can click on for some of the items (i.e. “author’s guidelines”). You then select “articles” for the section choice.
    6. At the bottom of the page is “save and continue”. Click on that button when you are done.
    7. The next screen (called “metadata”) is where you add additional authors, add the title & abstract, and place the keywords (called subject classification). Other information (i.e. discipline, funding source) can be added in appropriate boxes. When you have entered the pertinent information, click “save and continue”.
    8. You then upload the manuscript where it says “upload submission file” by choosing “browse” and finding your file to upload. Notice that the file is given an anonymous number to protect the author from being identified.
    9. Next you will upload the title page as a supplementary file in addition to any other supplementary files you may have. With regards to your title page as supplementary file, please ensure that the box next to, "Present file to reviewers" is left UNCHECKED. Examples of other possible supplementary files include copies of original tables or figures in case editing changes due to formatting requirements are necessary. When you have uploaded the pertinent files and entered the pertinent information, click “save and continue”.
    10. The final step is to see the manuscript submitted. Click “finish submission” and you are done. If there are any flaws in the submission process, you can click “cancel” and start the process again. Once you have clicked “finish submission”, the process is done and you will be sent an e-mail confirming your submission.
    11. After you have submitted the manuscript, you can check on the status and where it is at in the review process by logging in as the author.
  2. Publication of an article does not imply endorsement of the author's opinion by the Editor, Editorial Board, or Indiana University School of Social Work.
  3. Papers that have been previously published with substantially similar content or submitted simultaneously to another journal will not be considered.
  4. Authors are personally responsible for ensuring adherence to relevant copyright laws.

NOTE: Manuscripts submitted by January 1 will be considered for publication in the following fall issue. Typically, final revisions of accepted manuscripts must be received by July 31st for inclusion in the fall issue. Margaret E.
